Glenna Stone Interior Design is currently seeking an Office Manager/Bookkeeper. We are looking for an individual who will be responsible for office/facility management, client and vendor hospitality, depositing checks/processing invoices, paying vendors, and additional bookkeeping support.
Primary Responsibilities:
Office Management:
Daily office management/ supplies/ office logistics/ client and vendor hospitality
Facility management (alarm system, landlord, utilities, etc.)
Organize and maintain studio library and materials, including filing samples
IT liaison, helping to troubleshoot IT issues with the appropriate vendor
Coordinate GSID events and activities
Vendor coordination– set up vendor meetings and new accounts
Manage the schedule/planning of High Point Market and other company travel
Administration and special project support to the Director of Process and Operations
Bookkeeping:
Assist in the time billing invoicing cycle including sending client statements
Deposit checks and enter client payments into Studio Designer
Pay vendor invoices, update POs and post payments in Studio Designer, and file paperwork as needed
Make sure all credit card payments have supporting invoice documents and are properly recorded in Studio Designer
Manage the issue resolution process for damages/repairs/refunds
Support the Bookkeeper in administrative tasks as necessary
Desired Qualifications
3+ years of experience in accounting or bookkeeping and office management
Proficiency in Microsoft Office – Excel proficiency is a must
Strong verbal and written communication skills
Excellent organization and attention to detail
Ability to handle confidential employee and client information
