Job Description

Jeremiah Brent Designs is seeking an Office Manager for a full time position based in our NYC offices. The Office Manager is an integral part of day to day operations and is essential to provide and maintain company culture and a healthy environment for staff, clients, and Principal.

This role will provide support to the company via HR Management, Bookkeeping/Accounting, and Office Administration, keeping the team and offices organized, compliant, and providing support to the Executive Team.

Candidates must have relevant experience in administration and/or operations in the interior design (or parallel) industry.
This is a full time position located in NYC with a competitive benefits package and salary commensurate with experience.

Job Requirements

Responsibilities will include, but are not limited to:

Accounting & Bookkeeping:
- Oversight and execution of all AP + AR including client billing in both Quickbooks and Studio Designer ; Maintaining a strong record of billing and financial documents; Ensuring all invoices are received and paid on time
- Sales tax administration and processing
- Oversight of all employee credit cards for reconciliation and accounting capture
- Oversight of all financial components of the procurement process in collaboration with the designer teams using Studio Designer
- Collaboration with outside accounting firm for monthly reconciliations, reports and tax filings

Office Administration:
- Directing and assisting in maintaining company files such as employee handbooks, job descriptions, mid-year and yearly reviews, and admin software systems etc.
- Maintaining and monitoring accurate Info calendar recording ; managing conference room calendar with team members as necessary
- Oversight of Office Assistants / Interns to ensure a clean office environment with all necessary supplies, in both New York and Los Angeles
- Maintaining facilities related office/administrative relationships with external teams such as landlord and vendors
- Management and maintenance of all company insurance policies ; working closely with dedicated broker
- IT Support for Staff, Printing Devices and Conferencing Equipment

HR Management & Staffing:
- Monitoring billing cycles for accurate record of staffing hours from all employees
- General Hiring ; working to recruit, or working with outside recruiting firms, to secure staff when - Working closely with outside HR team for payroll and benefits administration
- Maintaining and monitoring employee records ; Reviewing and approving employee PTO
- Event planning for special events such as birthdays, anniversaries, and year end festivities
