Key Responsibilities:
- Act as administrative assistant for entire office
- Answer and direct phone calls on a multi-line system
- Handle all scheduling both business and personal for owner
- Coordinate all travel both domestic and international
- Process incoming and outgoing deliveries and shipments
- Act as liaison to all vendors and clients
- Schedule all repairs and maintenance at bi-coastal homes
- Manage office supplies and manager stock.
- Handle all correspondence for the owner both business and personal
- Maintain owner's contact database
- Greet customers in a showroom setting
- Assistant owner with personal matters (party planning, gifts, purchases, etc.)
- Work closely with entire team of designers, showroom manager, accountant & owner
Required skills:
- 1-2 years of previous business administration and/or personal assistant experience is a must
- Maintain client and business confidentiality at all times.
- Microsoft office, excel, outlook and Internet research experience a must
- Construction / design / architectural office firm experience a huge plus
- Highly organized, detail orientated and ability to multitask a must
- Thrive in a fast paced work environment/ability to quickly adapt to new or incoming changes
- Strong communication skills
- High School diploma required, College degree (AA, BA, BFA, or BS) a huge plus
